Organisations and projects

An organisation is a parish, pastoral area, or diocese using Gianna together. A project is a particular piece of work with an agreed term, such as a six-month evangelisation project.

Organisation membership is for the people running the work. Someone who opens Gianna from a QR code or parish website remains an inquirer and does not become an organisation member.

People and permissions

Organisation owners and administrators manage the organisation. A member can be given permission to request a project. Each project then has its own owners, managers, contributors, and viewers.

Contacts are selected separately. A project member is shown to inquirers only when that person has also been marked as a contact. Each contact has a short biography containing information they have agreed may be shared, such as their religious background, age or stage of life, parish role, and who they are well placed to help. Gianna uses this information to suggest a relevant person.

If you ask to speak with a contact, Gianna first shows who will receive the request and which details will be shared. Nothing is sent until you agree. You must provide an email address or phone number so the contact can reply. Gianna sends only the fields you approved and does not send the conversation.

An organisation owner or administrator can invite someone by email. The recipient can create a Gianna account without entering payment details because access is covered by the organisation's approved project.

Project approval

An authorised member requests a project with its purpose and preferred dates. Gianna's operator agrees the price, dates, and any inquirer allowance before activating it. An active project can be frozen without deleting its membership, terms, or history.

Using the organisation area

Open Settings → Organisation in Gianna. From there, permitted members can:

• invite organisation members;
• request a project;
• assign project roles and choose contacts;
• maintain events, videos, testimonials, parish information, and other resources Gianna may use in project conversations;
• create and disable named project QR codes and website embeds, with an optional parish assignment; and
• choose a reporting date range, review aggregate conversation length, return, sign-up, recommendation, contact, and feedback figures by entry point, and download project summaries and daily source figures as CSV.

Resources saved by a contributor, manager, or owner are available to Gianna straight away. A resource may apply across the project or to one parish. Optional start and end times keep events and time-sensitive material out of recommendations when they are not current. Gianna fetches a link's title, description, and image when the resource is saved, then serves that cached card to visitors. YouTube and Vimeo links can be played inside Gianna after the visitor presses Play. The publisher and video provider receive no visitor request before that choice.

Each QR code is an entry point for one project. Previous aggregate results move with the entry point if a project manager reassigns it. Existing conversations keep the project information they started with.

Give each QR code a source name that will remain clear in a report, such as “St Mary's porch” or “September newsletter”. The opening question is the text Gianna starts the visitor's conversation with.
